Here we explain simply and honestly what data we collect about you, why we do it and what happens to it. If anything is unclear, write to us and we will be happy to answer.
Who we are
The controller of your personal data is Virtuaalassistent OÜ (registry code 14098209), e-mail info@assistent.ee, phone +372 5680 0085.
What data we collect and why
1. When you write to us or fill in a form on our website
Your name, e-mail, phone number and whatever you wrote to us. We use this only to reply to you and to prepare an offer. Legal basis: our mutual interest in you getting an answer.
2. When you order our accounting service
For the contract and to comply with the law, we ask for more:
- company details (name, registry code, address, VAT number, field of activity);
- details of the person signing the contract (name, personal identification code, contact details, identity document details);
- details of management board members, shareholders and beneficial owners (name, personal identification code, size of holding, country of residence, citizenship, connection to a politically exposed person);
- information on cash transactions, banks and tax residency.
We use this data to prepare and perform the contract and for the customer due diligence questionnaire that the Estonian Money Laundering and Terrorist Financing Prevention Act requires from accountants. Without this data we are not allowed by law to provide the service. Legal basis: the contract with you and our legal obligation.
While keeping your books we also process your company’s documents (invoices, bank statements, payroll data). Here we act as a processor: the data belongs to your company and we use it only for what the accounting requires.
3. When you ask for an insurance quote
Your name, personal identification code or registry code, contact details and details of the property to be insured (for example a vehicle registration number). We use this only to request quotes from insurance companies and to prepare a comparison. Anna-Liisa advises as a partner of NB Kindlustusmaakler, so this data also reaches NB Kindlustusmaakler OÜ, which is the controller for the insurance brokerage. Legal basis: your request, i.e. pre-contractual negotiations.
4. When you buy from our online shop
Your name, e-mail, phone number, address and order details. We use this to fulfil the order, issue an invoice and comply with the Accounting Act. Payments are handled by the payment service provider, we do not see your card details. Legal basis: the contract and the law.
5. When you subscribe to our newsletter
Your e-mail and name. From time to time we send you useful letters for entrepreneurs. Every letter has a link at the bottom that lets you unsubscribe with one click. Legal basis: your consent.
Who sees your data
The members of our team who work on your matter, and only as much as the work requires. We also use trusted service providers who store data on our behalf:
- Google Workspace (e-mail, Drive, documents);
- accounting software Merit Aktiva;
- Slack (internal team communication);
- Kit (sending the newsletter);
- web hosting;
- payment service providers Montonio and Stripe (online shop payments);
- Google reCAPTCHA (protecting website forms from spam);
- NB Kindlustusmaakler OÜ and insurance companies (only for insurance requests).
We share data with public authorities (Estonian Tax and Customs Board, Financial Intelligence Unit, Commercial Register) only when the law requires it. We do not sell your data or share it with anyone for marketing purposes.
How long we keep your data
- We keep the data from an enquiry for as long as needed to answer it and discuss possible cooperation. If no cooperation follows, we delete it within 3 years at the latest.
- Contracts and the customer due diligence questionnaire: 5 years after the end of the customer relationship (required by the Money Laundering and Terrorist Financing Prevention Act).
- Accounting documents: 7 years (required by the Accounting Act).
- Newsletter data: until you unsubscribe.
After these periods we delete the data or make it anonymous.
Your rights
You always have the right to:
- ask what data we hold about you and receive a copy of it;
- have your data corrected if something is wrong;
- have your data deleted if the law does not require us to keep it;
- restrict processing or object to it;
- withdraw your consent (for example for the newsletter); this does not affect the lawfulness of earlier processing;
- lodge a complaint with the Estonian Data Protection Inspectorate (aki.ee) if you believe we have violated your rights. But please let us know first, we can usually sort things out faster.
Write to info@assistent.ee and we will reply within 30 days at the latest.
Cookies and statistics
We use cookies that the website needs to work: language selection, the shopping cart, making a payment and logging in. If you subscribe to the newsletter, Kit remembers that you have already subscribed so that we do not ask you again.
Our website forms are protected from spam by Google reCAPTCHA, which checks that a form is filled in by a human and not a robot. For this, Google receives data about your device and how you use the page.
We collect visitor statistics with Plausible Analytics, which does not use cookies and does not identify you personally.
Changes
If we change this policy, we will publish the new version here and update the date at the top. We will also notify our clients of significant changes by e-mail.
